Note: Scheduling a meeting in your Personal Room is the recommended method for online instruction with recurring meeting times. This ensures that the meeting URL always remains the same throughout the sessions, which simplifies the process for your recipients.
Sending a scheduled Webex Meetings invite is quick and easy with the Webex desktop application, see below for instructions in addition to alternate invitation methods and other meeting resources.
Install the Webex Meetings desktop application (recommended)
Note: The Cisco Webex Meetings application is the only supported Webex client at this time.
- Log in to Webex using your firstname.lastname@wmich.edu email address. You will be redirected to the WMU Login to complete authentication.
- Click Download on the left, and then download the Cisco Webex Meetings Desktop App. If you wish to integrate Webex with the Outlook desktop application, we recommend you also download the Cisco Webex Productivity Tools at this time as well.
- Once downloaded, launch the Cisco Webex Meetings Desktop App installer and proceed through the installation prompts. If you also downloaded the Cisco Webex Productivity Tools, you may install that software after the Webex Meetings Desktop app has been installed.
- The application does not require administrator privileges to install, but your WMU managed system might. Please contact your LAN manager if you need assistance with departmental software installation.
- Once installed, open the Cisco Webex Meetings application.
- Sign in using your WMU email address.
Send a scheduled Webex Meetings invite
Using the Webex Meetings desktop application (suggested method)
- Open the Cisco Webex Meetings application.
- Click the Schedule button in the top right
- If you have Microsoft Outlook installed, a new appointment window will open. Input the Recipients*, Subject, Time, and Location (if applicable) and click Send.
- If you do not have Microsoft Outlook installed, the Webex website will open. Input a Meeting Topic, Time, Attendees*, and then click Schedule Meeting.
- Recipients will receive a calendar invite including information needed to connect to your Webex Meeting within the Description of the invite.
Warning: Invitations cannot be sent to class list or staff distribution list email addresses. For those invitations, we recommend scheduling a meeting in your Personal Room.
Using the Webex website
- Log in to Webex using your firstname.lastname@wmich.edu email address. You will be redirected to the WMU Login to complete authentication.
- Follow instructions to schedule a Webex Meeting
- Recipients will receive a calendar invite via email including information needed to connect to your Webex Meeting within the Description of the invite, as well as the meeting being added to their W-Exchange calendar.
